PlateRun is a system for moving vehicles: transport and logistics companies use the website to plan jobs, and their drivers use the PlateRun app to carry them out. It's provided by PlateRun ("we", "us"). This policy explains what information the website and the app handle, why, and what your choices are.

Who is responsible for your information

Each company that uses PlateRun (an "organisation") decides what jobs to record and who its drivers are, so it is responsible for the job, driver and customer information it puts into PlateRun. We store and process that information for the organisation, only to provide the service. We are responsible for the information needed to run accounts and billing.

What we collect

  • Accounts. For office staff: name, email address and a password (stored only in a scrambled, one-way form). For drivers: name, callsign, and the email address, phone number and address the organisation enters, plus a password.
  • Jobs. Vehicle details (registration, make and model, colour, VIN), collection and delivery addresses, dates, prices and notes.
  • What drivers record in the app. Arrival times and ETAs; odometer readings; answers to the vehicle checks; photos (the odometer, documents such as the V5C and MOT certificate, tyres, damage and receipts); expenses; and the name, optional email address and signature of the person handing over or receiving the vehicle.
  • Location. When a driver signs off a collection or delivery, the app records the phone's position at that moment, so the office can see where it was signed. The app asks permission first, only uses location at sign-off while the app is open, and doesn't track drivers. Without permission, sign-offs work as normal.
  • Payments. Organisations that buy tokens pay through Stripe. We receive confirmation of the payment and the amount, but never card details.
  • Technical information. Our servers keep routine logs (such as times and addresses of requests) to keep the service secure and working.

How the app uses your phone

  • Camera: to take the photos a job needs. Photos are only taken when the driver chooses to.
  • Location: only as described above, at sign-off.
  • Storage on the phone: so drivers can keep working without a signal, the app keeps their current jobs and anything recorded but not yet sent on the phone. It's sent when there's a connection and then removed from the phone. Sign-in details are kept in the phone's secure storage.

Why we use it

Only to provide PlateRun: to show organisations their jobs and what their drivers recorded, to let drivers carry out jobs, to send account emails (confirming an email address, resetting a password), to take payments, and to keep the service secure. We don't sell information, use it for advertising, or show ads.

Who we share it with

Information is visible only to the organisation it belongs to. We use a small number of service providers to run PlateRun, who handle information only on our instructions: our hosting provider (servers and database), our email provider (account emails), Stripe (payments) and Google (the collection and delivery addresses of a job, to work out its driving distance). We may disclose information if the law requires it.

How long we keep it

Job information is kept for as long as the organisation uses PlateRun, as it forms its record of each vehicle movement. When an organisation's account is deleted, its jobs, photos, signatures, drivers and accounts are deleted with it. An organisation's admin can remove drivers and office staff at any time.

Keeping it safe

Information travels over encrypted connections (HTTPS), passwords are never stored in readable form, and each organisation can only reach its own information.

Your rights

You can ask to see the information held about you, to have it corrected, or to have it deleted. If you're a driver, office user or customer of an organisation using PlateRun, please contact that organisation first, as it manages your information; we'll help it respond. You can also contact us directly at hello@platerun.co.uk. If you're in the UK, you can also complain to the Information Commissioner's Office (ico.org.uk).

Children

PlateRun is a business tool for adults and isn't intended for anyone under 18.

If we change this policy, we'll update it here and change the date at the top.
